Part-Time Office Administrator Job Description

at Prince of Peace Lutheran Church, ELCA

The Office Administrator conducts themselves to support the Prince of Peace (POP) goals, mission, and values. POP provides a warm work environment where clergy, leadership and volunteers partner with staff in a progressive environment driving a broad range of meaningful ministries.

Engagement type

  • Part time hourly work for 10-15 hours per week.

  • Must be able to work Monday 10am-2pm & Tuesdays Specific hours are negotiable.

  • This is an office-based work position. Reports directly to the Pastor.

Learning opportunity

The job provides some training and exposure in the following areas:

  • Technologies including Quickbooks, Breeze (customer management software), and

  • Finance, budgeting and accounts payable.

Essential Functions and Responsibilities

Finance Accounting & Stewardship

  • Data entry of donations and income from multiple sources in a timely manner with attention to detail.

  • Maintain and update contact information of members, visitors, & donors.

  • Send quarterly giving statements to all donors.

  • Produce monthly donation reports being respectful of volunteer governance manager’s time.

  • Attend committee meetings.

  • Coordinate with leadership on annual Insurance review.

  • Pay insurance premiums and complete reporting in a timely manner.

Accounts Payable including

  • Pay bills on time, issue reimbursements, etc with required approvals and use of online tools.

  • Categorize and track expenses.

  • Provide all required information to support financial closing within 3 weeks of quarter end.

  • Document processes and procedures so others can execute the process as required.

Office Reception

  • Greet visitors & members in a kind and professional manner.

  • Be able to work efficiently in an interruption driven environment.

  • Procure office supplies as needed/requested.

  • General office organization.

  • Filing hard and/or soft copy reference documents.

  • Document the filing organization so others can access documents in the Business Administrators absence.

Property Rental Management

  • Arrange campus opening and closing for events.

  • Show the property to potential short-term customers and long-term tenants.

Minimum Qualifications

Education and Experience

  • College degree in applicable field, or equivalent in experience.

  • Administration experience in a religious or non-profit organization is desirable.

Knowledge, Skills and Abilities

  • A warm, inclusive, and welcoming personality.

  • Organization, record keeping and planning.

  • Strong oral and written communication skills, diplomacy, and professionalism.

  • Willingness to take on additional tasks as time and need allows.

  • Good computer skills, including Google Docs, Drive, Spreadsheets.

  • Aptitude and desire to learn technologies including Breeze, Quickbooks and

  • Must pass a criminal background check and fingerprinting.
